Overview

School Run ("we", "our", "us") helps parents stay on top of school communications by reading emails from their children's schools and extracting key information such as events, deadlines, and action items.

This policy explains what data we collect, how we use it, and your rights.

What We Access

When you connect your Google or Microsoft email account, we access only emails from your children's approved school domains. We filter emails at the provider level using sender domain queries — personal, commercial, and all other emails are never fetched or accessed.

How We Process Your Emails

School emails are processed using artificial intelligence to extract events, deadlines, action items, and announcements. This processing is performed using Amazon Web Services (AWS) Bedrock, a managed AI service operating within our own AWS infrastructure.

Your email content is not sent to any third-party AI provider, public large language model, or external service.

What We Store

  • Raw email content from school domains, stored in encrypted cloud storage (AWS S3), organised per user account
  • Extracted structured data (events, deadlines, action items) in our application database
  • Your child's first name and class/grade level, used to associate school communications with the correct child
  • Your basic profile information from your email provider (name, email address)

What We Do Not Do

  • We do not access emails from non-school senders
  • We do not use your email content for advertising or marketing
  • We do not sell or transfer your email data to third parties
  • We do not allow human review of your email content except where required for technical support with your explicit consent

Analytics

We use PostHog for product analytics to understand how the app is used. This includes usage patterns and feature interactions. No email content is sent to PostHog.

Data Retention and Deletion

You may revoke email access at any time through your account settings or by disconnecting your Google/Microsoft account. Upon account deletion, all stored emails and extracted data are permanently removed within 30 days.

You have the right to:

  • Request a copy of your stored data
  • Delete your account and all associated data
  • Revoke email access at any time
  • Contact us with questions about your data

Children's Information

We store your child's first name and class/grade level solely to associate school communications with the correct child. We do not collect information directly from children.
